Why it’s hard

Simple math. Easy to get wrong.

AIA billing is a few formulas applied to every line, every month. The trouble is that each month builds on the last.

Every number depends on last month

Column D has to match last month’s approved totals on every line. One slip and the whole sheet is off.

Retainage has to tie, to the cent

Line by line, at the contract rate, and the column total has to match line 5 on the cover sheet.

Every GC wants it differently

Their own Excel template, a PDF form or a portal. The same numbers, a different layout for each job.

The continuation sheet

Every column, handled.

You tell us the month’s progress. We fill in the rest and check it. Hover a column to see what goes in it.

From previous= last month’s D + E

Everything billed on this line before this month. It must equal D + E from the last approved pay app.

How it works

Last month in. This month out.

No new software. Send what you already have and get back a pay app your GC can approve.

AIA billing software

Software does the math. We do the pay app.

Most AIA billing software still needs someone to set up each job, type the month’s numbers and check them. Here’s how the options compare.

Questions

AIA billing, answered.

AIA billing is progress billing on the American Institute of Architects pay application forms, the G702 cover sheet and G703 continuation sheet, or a GC’s version of them. Each month you bill the percent complete on each line of your schedule of values, less retainage and what you’ve already been paid.
